Billing Portal - Digital Direct Upload

1. Introduction
The Direct Upload feature in the Billing Portal allows users to upload billing data using a pre-defined Excel template. This guide walks you through each step—from accessing the portal to verifying your uploaded billing lines.
2. Accessing the Billing Portal
- Log in to your account.
- From the Dashboard, click Billing Portal.
- You will be redirected to the Claim Page.
3. Starting a Direct Upload
- On the Claim Page, click Upload Billing Report.
- A popup window will appear with the following options:
- Upload Type dropdown – select Direct.
- Billing Month selector – choose the correct month.
- Platform dropdown will be disabled in the popup.
- Medium field will be disabled in the popup.
- File Upload field – used for uploading the completed Excel billing file.
- Download link for Sample Template – available only after selecting Direct.
4. Downloading the Direct Upload Template
- Select Direct from the Upload Type dropdown.
- Click Download Direct Upload Billing Template.
- Save the file to your system.
5. Filling in the Billing Template
When you open the template, you will see columns with headers. Some headers are marked with an asterisk (*). These fields are mandatory.
5.1 Required Fields
- SMD Schedule – Enter a six-digit alphanumeric value.
- Product Code – Must match the Client Code you entered.
- Campaign Name – Enter the relevant campaign.
- Medium Code – Select from the dropdown list.
- Ad Category – Select from the dropdown list.
- Placement Description – Provide a clear description.
- Billable Cost – Enter the billing amount.
5.2 Optional Fields
- Purchase Order – You may leave this blank if not applicable.
5.3 Important Notes
- Each row in the file is processed as a separate billing line.
- Example: If you add two rows, the system will create two billing lines.
6. Uploading the Billing Report
- Return to the Billing Portal popup.
- Drag and drop your completed Excel file into the upload field.
- Click Submit.
- The system will begin processing your file.
- This may take several minutes.
7. Notifications
- Successful Upload: You will receive an email confirming that the file has been uploaded and processed.
- Failed Upload: You will receive an email with detailed error messages. Correct the errors in the file and re-upload.
8. Verifying Uploaded Billing Lines
- From the Claim Page, select Direct from the dropdown.
- The uploaded billing lines will appear.
- Example: If you uploaded two rows, you will see two billing lines.
9. Processing in SMD
- Direct uploads are automatically pushed to SMD.
- You do not need to manually push them.
- The uploaded billing lines will appear on the Summary Page.
- Status will be marked as Financial (Locked).
- These records will not appear on the Push screen since they bypass manual pushing.
10. Troubleshooting
- Template Errors: Ensure all mandatory fields (*) are filled.
- Incorrect Codes: Verify SMD Schedule, Client Code, and Product Code match correctly.
- Upload Failures: Review the error email, correct the Excel file, and re-upload.
