Query and Approve a Booking Order (Planner)

 

1. Querying a Booking

When a user clicks Query, the booking section currently being viewed will be highlighted with a blue border.

  • Clicking on any component inside the booking section will:
  • Change its color to blue.
  • Open the Activity Log on the right-hand side of the screen.

 Activity Log Overview

The Activity Log records all actions performed on a booking since its creation.

  • Each activity is displayed as:
  • The user’s initials in blue
  • Followed by the action performed

Adding Queries

At the bottom of the Activity Log page:

  • The queried component will appear inside a blue header in the comment box.
  • A text box will be available for entering queries.
  • Clicking Next will:
  • Open the next component selected for querying.
  • Save the previous query.
  • Clicking Submit will:
  • Save all queries entered.
  • Display them in the Activity Log as text with the user’s initials in blue.

Replying to Queries

On hovering over a queried component:

  • A Reply button will appear.
  • Clicking Reply opens that component in the query section for further input.
  • Replies are displayed under the original query in the Activity Log.
  • A maximum of two replies are shown initially.
  • If more replies exist, a See More button appears, which expands the thread.

Closing the Activity Log

The Activity Log can be closed by:

  • Clicking anywhere outside the Activity Log, or
  • Clicking the cross icon (X) at the top of the Activity Log.
  • Closing the Activity Log takes the user back to the Booking Details page.

Handling Updates in Queries

Numeric Values:

  • Updated values are displayed in blue.
  • On hover:
  • Previous value appears in grey.
  • Difference between new and old value appears in red.
  • Non-Numeric Values:
  • Updated values are displayed in blue.
  • On hover, the previous value appears in red.

Notifications

An email notification is sent to:

  • The creator of the booking.
  • Any other CC’ed users linked to the booking.
  • Notifications are triggered when:
  • A booking is queried.
  • Any queries are performed or updated.

2. Approve/Cancel (Approver Actions – BP 2.0)


2.1Cancel Booking

When the user clicks Cancel, a prompt message will appear asking for confirmation:

  • “Do you want to cancel the booking?”
  • On clicking Yes:
  • The selected booking will be cancelled.
  • A confirmation pop-up message will appear on the top-right corner:
  • “Booking cancelled successfully.”
  • The status of the booking in the list will be updated to Cancelled.
  • An email notification will be sent to:
  • The creator of the booking.
  • Any agency users linked to the booking.

2.2 Approve Booking

When the user clicks Approve, a pop-up window will open containing:

  • CC (Agency Planners):
  • A dropdown list of all available agency planners.
  • Multiple agency planners can be selected.

Comments:

  • A text field where the approver can enter any additional comments is displayed.

On clicking Approve:

  • The booking will be approved.
  • Any selected agency planners will receive an email notification regarding the approval.

On clicking Cancel within the approval window:

  • The pop-up will close.
  • The user will be taken back to the Booking Summary page.
