Booking Portal Overview

Booking Portal allows users to create, send & receive agency implementation plan approvals in a streamlined, paperless portal. This tracker operates as the internal approval communication between agency team and activation team, enabling the automation of SMD/Pegasus schedules, pacing and billing. You can access Booking Portal by clicking on the application card or the side panel navigation. 

On navigating to Booking Portal, you will be directed to the booking listing view. 

Listing Page

The booking listing view house all existing bookings associated with your advertiser access and allows you to navigate to your bookings, access booking overviews and activity logs. 

At the top of the page, you will find two functions to narrow the bookings visible in your listing view. The first is an open search bar. This allows a user to use multiple search terms across the columns within the table. 

A user can filter further using the filter bar located on the top right of the page by State, Status, Run Dates or SMD Schedule. Status reflects the approval status of your booking in the workflow.  State reflects the active state. Only a booking with a Cancelled or Approved status can be archived. Only bookings in Draft status can be deleted. 

Below the Search bar are 4 action icons. These can be used for making bulk action by selection 1 or more bookings from the list of bookings. From left to right, the icons are Download, Archive, Cancel and Delete. Scrolling over the tooltip will highlight the icon action. 

By default, 25 bookings will be visible in your view. At the bottom of the page, you can simply click the ‘Load More’ button to show the next 25 bookings. Key campaign details are shown in the table. Sort by column by clicking the header within the table.   

Within the table, bookings are listed separately by row. At the beginning of the row is an SMD sync icon. This refers to whether the booking has been synced to SMD for billing purposes. Sync’ing occurs once a booking has been approved and will reflect the structure outlined in the booking. 

At the end of each booking row are 3 action icons. This is where a user can access existing MBA for editing or monitoring. Starting left to right, the 3 action buttons are Duplicate, Overview & Edit.

The Duplicate function will take the existing details and targeting applied to a Booking and create a copy. This will open in the edit view and will be in draft status. Any existing change log from the original booking will be removed from the duplicate booking. 

The Overview function gives user a detailed summary of the booking. On clicking, a sidebar will open containing a campaign summary, cost breakdown, approver details and the activity log with historical updates. This allows a user to see top-level details without the need of entering the edit function. 

Clicking the edit icon will open the booking within the editor mode.

In the top right of the screen is a Create New Booking button.  Click here to enter the Booking Editor.

Booking Editor

Whether creating or editing a booking, a user will be directed to the Booking Order Summary within the booking editor. The booking editor is where bookings are created, edited, and published for approval. There are 2 sections on the summary page:

  • Booking Order Details
  • Booking Line Summary

Booking Order Details

This is information related to the advertiser and campaign. Fields are mandatory unless highlighted as ‘Optional’ in the field header. Start Date and End date are populated once booking order lines are added in the media section.

Booking Line Summary

The Booking Line Summary will auto populate once booking lines are added. The edit icon within the summary table will deep link a user to the booking lines within that media type. 

Booking Lines

Once a user has entered all mandatory requirements in the summary section, the Add media option will become active. Media types are selected by clicking the Add New button and will be populate as list underneath as selected.

Clicking on the media type will open the booking line editor. Within this section will create a full implementation plan for the campaign including platform, ad types and targeting. A user can determine the finance schedule information to ensure billing information is ready ahead of billing period.
